Privacy and terms

What we hold

• Your email address, and your Google identity if you sign in that way.
• Your business name, timezone and role.
• Everything you record: customers and their contact details, promised amounts and dates, notes, follow-ups and payments.
• Error reports, with customer names, phone numbers, notes and message text stripped out before we ever see them.

What we do with it

We use it to run the service, keep the history you asked us to keep, answer your support requests and fix what breaks. We do not sell it, and we do not use it to advertise to you or anyone else.

Four companies handle it on our behalf: Vercel hosts the application, Supabase stores the database and handles sign-in, Google handles Google sign-in and provides the AI described below, and our email provider delivers sign-in links.

What the AI sees

The Conversation Coach has two modes. The deterministic one is written entirely by us and sends nothing anywhere. The AI one sends a structured summary of a single promise to Google Cloud Vertex AI and returns a draft for you to read.

Always sent: the amounts and dates on the promise, whether it is upcoming, due or overdue, counts of past promises, payments and follow-ups, and the language and tone you picked.

Sent only if you ask: the notes and logged messages on a promise. These stay in KalPakka unless you tick Use my recorded notes on that one suggestion. The box is never ticked for you and does not stay ticked.

Never sent: email addresses, phone numbers and database identifiers. Your customer’s name is swapped for a placeholder and put back only after the draft returns. If you type a note in the guide, it is refused outright when it contains any of these, so you can correct it.

Worth knowing: we remove people’s names from text before it is sent - anyone you have recorded as a customer or contact, and names written as “Mr Sharma” or “spoke to Priya”. This is pattern matching, not magic: a bare first name in an ordinary sentence can still slip through. Leave a name out if you would rather it were never sent.

Processing may happen outside India. Under Google Cloud’s terms this content is not used to train Google’s models. We do not store the text of any AI request or reply, only technical details like the model used, timing and whether you accepted the result, all of which you can read on your AI activity page.

You are the one who sends

KalPakka never sends a message to your customer. It drafts; you read it, change it and send it yourself. That is not a setting, and the AI is optional. The deterministic Coach works without it.

Using KalPakka

This is an early product. Features will change, and it may have faults or interruptions. While you use it, we ask that you:

• Use it only for a business you are authorised to act for.
• Enter customer details only where you have a lawful reason to hold them.
• Keep your account secure, and tell us quickly if you think someone else has reached it.
• Read every message before you send it.

KalPakka does not send messages on its own, move money, give accounting or legal advice, guarantee that you will be paid, or replace your accounting records. We may suspend an account that breaches these terms, or to protect other people’s data.

Keeping, deleting and leaving

We keep your records while your account is open, so your promise and payment history stays complete. You can stop using KalPakka whenever you like. Ask us and we will export or delete your data; we will check who you are first, which is the same protection you would want if somebody else asked for it.
